BOPW provides software that helps UK accountancy practices collect, read and organise client bookkeeping documents (receipts and invoices) and publish the resulting records to Xero. This policy explains what we collect, how we use it, and the choices you have — including how to delete your account and data.

Information we collect

• Account details — your name, email address, practice name and a securely hashed password.
• Documents you submit — photos and files of receipts/invoices, and the data we extract from them (supplier, date, amounts, VAT, line items).
• Client records you create within your practice.
• Usage & device data — basic logs needed to operate, secure and troubleshoot the service.

How we use your information

• To provide the service: ingesting documents, extracting data with AI, letting you review it, and publishing to Xero.
• To secure your account, prevent abuse, and provide support.
• To process your subscription and send essential service emails.

Third-party processors

We share data only with providers that help us deliver the service:

• Xero — to publish approved records to your connected Xero organisation.
• AI providers (Google Gemini & Anthropic Claude) — to extract data from the documents you submit.
• Stripe — to process subscription payments (we never store your card details).
• Resend — to send transactional and notification emails.

Data retention

We keep your data for as long as your account is active. Documents and records remain available to your practice until you delete them or close your account.

Deleting your account and data

You can permanently delete your account at any time from the mobile app: Settings → Delete account. Deleting your account permanently removes your practice, its clients, all documents and extracted data, Xero connections and related records from our systems. This action cannot be undone.

Under UK GDPR you may request access to, correction of, or deletion of your personal data. To exercise these rights, contact us at the email below.

Security

We use industry-standard measures including encryption in transit, hashed passwords and access controls scoped to your practice.
